Stage 2: Can you book directly, or should you still use a charter broker?

Short answer

DIY research and broker-assisted booking are compatible. Decide which tasks you want to retain, then establish who will perform everything else.

Some professional inventory services are not consumer research tools. Charter Index, for example, describes its broker MLS as a professional platform with central-agent contact access. Do not assume the information visible on a public listing is the complete operational file. (agent.charterindex.com)

Online convenience also does not necessarily mean a non-binding enquiry. Charter Index’s published Make an Offer terms describe binding offers, a 5% deposit authorisation and a referral fee captured on acceptance, with the subsequent charter arrangements handled with the yacht manager. Read the terms of the actual service before authorising a card or submitting an offer. (agent.charterindex.com)

Who should you contact?

Use the following contact order rather than broadcasting the family’s details widely:

  1. A retail charter broker, if using one: provide the approved brief and ask for a limited shortlist.
  2. The yacht’s central agent or charter manager: establish current calendar, owner approval, contracting arrangements and documentary access.
  3. The captain, through the agreed commercial contact: test operational suitability and itinerary assumptions.
  4. Specialists: involve maritime counsel, an insurance adviser or a fiscal specialist when the shortlist creates questions outside the organiser’s competence.

For broker vetting, check a claimed association relationship with the association itself. MYBA describes corporate and individual membership; the Charter Yacht Brokers Association also provides information about its membership. Treat membership as one check, not a substitute for investigating the actual transaction. (myba-association.com)

Ask each broker:

  • Which shortlisted yachts have you personally inspected, and when?
  • Did you meet the crew who are expected to operate our charter?
  • Are you also representing the owner or managing any proposed yacht?
  • What commission, referral payment or separate fee applies to this transaction?
  • Will you source a suitable yacht outside your managed fleet?
  • Who handles problems outside office hours?
  • Who receives our money, and under what contractual arrangements?

Do not deduct an assumed commission from the advertised rate and call it a direct-booking saving. Request a written, comparable quote instead. Likewise, do not add an assumed brokerage percentage to the budget unless a separate charge is actually payable.

How do you keep availability evidence usable?

Create an availability register with:

Yacht identity | exact dates/hours | source | checked date/time | owner approval status | option expiry/time zone | conditions outstanding

Use separate statuses: suggested, availability reported, option offered, and contracted with required conditions completed. Ask the supplier to explain what an “option” means in that transaction; do not assume it guarantees a hold.

Output: three genuinely different candidates and a clearly assigned booking counterparty.

Do not proceed if: nobody can explain which entity controls the yacht’s calendar or can commit the owner.
