What should you send to the principal or broker next?
Send the unresolved decisions, not just the score. Use this one-page record as a family-office yacht charter due diligence checklist or a PA’s approval brief.

| Field | What to record |
|---|---|
| Proposed trip | Yacht, dates, embarkation and disembarkation, guest configuration |
| Assessment | Score, band, assessment date and assessor |
| Deposit status | HOLD or ready for final approval review; list every unresolved hold |
| Budget | Expected expenditure, higher-spend scenario, cash advances and approved ceiling |
| Three priority gaps | Exact unanswered question, responsible party and response deadline |
| Decision required | Principal approval, supplier clarification or specialist advice |
| Evidence | Source, document date, reviewer and where the record is held |
| Refresh triggers | Changes to yacht, guests, crew, itinerary, quotation, agreement or bank instructions |
How should evidence be labelled?
Use labels that describe what actually happened:
- Supplier-stated: A named supplier made the claim; record whether it is written or verbal.
- Document reviewed: A relevant document was seen; this does not by itself establish authenticity or current validity.
- Independently confirmed: A named reviewer checked with an appropriate issuer or independent source; describe the scope.
- Estimated: An explicit assumption, range or scenario—not a confirmed charge.
- Not established: Evidence is missing or conflicting.
Do not relabel a brochure claim as independently verified because it appears in several proposals. Keep suitability and evidence quality separate: an attractive feature can be relevant while its current availability remains unconfirmed.
What can you ask your existing broker?
Please help us close the attached readiness gaps before signature and deposit. For each item, provide the supporting document or dated confirmation, identify any remaining assumptions, and tell us who will resolve them. We would like the final proposal, cost schedule, guest arrangements and agreement checked against the same approved brief.
You can complete this assessment without changing broker. If you commission independent decision support, give the reviewer a defined scope and ask for an evidence-linked issue register—not a blanket declaration that the charter is safe.
